Office hours and forms of communication

As a full-time homeschooling mompreneur, I believe you deserve to run a business that blesses your life not one that robs you of the treasured moments you want to hold on to for a lifetime. I keep my hours separate so I can focus on family when I am with them and work when I have my office hours.

Office Hours are Monday-Thursday 8:00 AM-2:00 PM CST.

During our ongoing project we will primarily use email and your personal Trello board. This helps me keep everything organized and allows me to do the best job that I can. I do my best to reply to all communication regarding active projects within 24 hours (during my office hours). 

Please be sure to keep your communication concise and thorough. Be sure to gather all of your thoughts before hitting send. 

If need be, we can schedule a chat via Zoom/phone, and you can schedule an appointment here. 
Scheduling calls allows me to keep my work from being interrupted and my schedule intact.

Ongoing management requires just a wee bit of startup time. Once we have everything we need to begin regularly posting, it will be a mostly hands-off project on your side. For IG&FB, wIe will provide you with an outline of the daily post topics for the month ahead, your content calendar. 

WEEK 01: onboarding
WEEK 02+: Posting begins

Getting started is the most hands on you’ll really be for this management project. It is preferred that you send your logins via LastPass (to hello@swishsocial.co). 

Once you’ve signed our contract and paid your first invoice, your next step is to get started on your onboarding homework so we can move throughout the process smoothly. You’ll receive an email invitation from Trello to join the personal project board we have built for your brand.  

We’ll get started on scheduling posts out for the weeks ahead. We’ll report back monthly after the analytics have come back for the entire month usually around the 3rd of the month.

15 days before the initial contract is over, you’ll receive an invitation to continue our services with another contract. Non-renewals and cancellations are expected to give a minimum 15 days notice. 

 

Your Homework!

1. Send Your Logins

Please send your login information for all of the social media platforms you’ve decided to take off your plate. We prefer to use LastPass for keeping your passwords stored safely.

For Pinterest, please send your website admin login so we can claim your website on your profile and accurately track stats from Pinterest. We’ll also need your Tailwind login for Pinterest management. 

If you do not have an account yet, just let us know and we will create one for your brand.

It’s important that we have all of your current branding information. Please send us your fonts, color pallete, any brand guides or brand manuals, as well as any important LINKS/OFFERS.

Please upload these details via Trello during the first week your project starts.
You will receive an invitation from Trello to join your personal board by email. 

3. Approve Templates

We’ll create templates for your social graphics and run them by you for a one-time approval. Typically we don’t seek pre-approval for new designs, unless requested, because we aim to stay true to your brand.

DUE WEEK 01: client onboarding Homework

Sticking to the deadlines outlined in our communication is vital to getting started on marketing your brand by the agreed upon date. Things can get delayed for several reasons: contract or invoice is late, homework is not received by due date, or feedback is postponed are just a few examples.

The longer you are waiting to launch, the longer you are waiting to grow your brand and your income. The longer you take to make decisions to move forward, the longer it takes for your ideal client to discover you and begin consideration of working with you. 

Please make sure to refer to these deadlines in your project’s personal Trello board, as well as this page for a clear outline of expected deadlines.

feedback guidelines

  1. Try and use bullet points to break up your feedback. 
  2. Use headers to organize your feedback into sections.
  3. Read over your feedback to make sure it’s clear and check that you’ve answered any questions I may have asked. 
  4. Post your feedback as a comment on the relevant Trello card instead of emailing me directly. Back and forth emails can get confusing, but communicating in Trello is a breeze!
  5. If you have team members that would like to provide their feedback, I kindly ask that you gather the feedback into one message. This stops everyone from getting confused and keeps the project organized.

payment and cancellation policy

Monthly retainer fees are required in advance of services; payment is due on or before the 1st of each month. If full payment is not received by the 5th, full standard hourly rates will apply for any work performed during that month ($99/hr).

cancellations and refunds

Retainers are nonrefundable due to the fact I have saved space on my calendar for the time and work has began. Cancellations do not warrant a refund for unused time. Cancelling with less than 15 days notice will incur next month’s invoice.

This is so we can claim and verify your URL with Pinterest. It not only allows easier tracking of your pins, but it also helps Pinterest see your account is legit.

No. It is highly recommended to create a new business account and keep your personal one seperate.

While every account is different, typically in 3-6 months you will see a boost in your stats in both leads and traffic.

You can find the weekly game plan in our Trello board for IG & FB management. 
For Pinterest you will have the opportunity to review the templates during onboarding. If you’d like to review images before publishing, please let us know.

Client is expected to maintain an active Tailwind account (ADVANCED PLAN) either monthly or yearly on the Launchpad package. Tailwind prices are subject to change and are not under Swish Social’s control.
Accounts on Blastoff packages have Tailwind included.
